Privacy Policy

What AsyncView does with personal data — both the data we hold about our own customers and the candidate recordings we process on an employer's behalf.

1. Who we are and what this covers

AsyncView is a tool for running recorded video interviews. This notice explains what we do with personal data across the marketing site and the product.

There are two distinct roles. For our own customers — the people who hold accounts — we are the data controller. For candidates invited to record an interview, the employer running the interview is the controller and we act as their processor, handling data on their instructions. If you are a candidate, start with the employer who invited you; we will support any request they pass on.

2. Data we collect about customers

When you use an account or contact us, we hold:

  • Account details: name, work email, company name, role, and a hashed password. We never store passwords in a readable form.
  • Billing details: plan, credit usage and invoice history. Card details go directly to our payment provider and never reach our servers.
  • Content you create: jobs, interview templates, questions and settings.
  • Support and enquiry messages, including anything you send through the contact form on this site.
  • Technical data needed to serve the app: a session cookie, and standard server logs such as IP address, browser and timestamps.

3. Data we process on behalf of employers

When a customer invites someone to an interview, we process that candidate's name and email address so the invitation can be sent, and the video and audio they record in response to the questions, along with metadata such as when each answer was recorded and how many attempts were used.

We process this only to provide the service to the employer. We do not use candidate recordings for our own purposes, do not use them to train models, and do not sell them or share them for advertising.

4. Why we use it

We use customer data to provide and secure the service, to take payment, to send transactional messages such as password resets and interview invitations, to answer support enquiries, and to comply with our legal obligations.

Our lawful bases are: performing our contract with you; our legitimate interest in keeping the service secure and improving it; consent where you have given it; and compliance with legal obligations. Candidate data is processed on the employer's instructions and on whatever lawful basis they rely upon.

We do not run advertising, and we do not build profiles of you for marketing.

5. Cookies

The product sets a session cookie so you stay signed in, and a small preference cookie for interface state. These are necessary for the service to work and cannot be switched off while you are signed in.

This marketing site does not set advertising or cross-site tracking cookies.

6. Who we share it with

We do not sell personal data. We share it only with service providers who help us run the product, each bound by contract to use it solely for the service they provide us:

  • A real-time video provider, which carries and records interview sessions.
  • A cloud object-storage provider, where recordings are stored.
  • A payment provider, which processes subscriptions and holds card details.
  • An email provider, which delivers invitations and transactional messages.
  • Our hosting provider, which runs the application and its database.

7. Other disclosures

We may disclose data where the law requires it, to establish or defend legal claims, or to protect the rights and safety of people using the service. If our business is sold or reorganised, data may transfer to the acquirer, who would remain bound by this notice or one at least as protective.

8. International transfers

Our providers may process data outside your country. Where data leaves the UK or EEA we rely on an adequacy decision or on standard contractual clauses with the provider concerned.

9. How long we keep it

Account and billing records are kept for as long as the account is open, and afterwards for as long as tax and accounting rules require.

Candidate recordings and interview records are kept for as long as the employer's account holds them; the employer decides when to delete them, and can ask us to remove them at any point. Invitation links themselves stop working on the expiry date the employer sets.

Server logs are kept for a short operational period and then discarded.

10. Security

Data is transmitted over encrypted connections and stored with access restricted to the account it belongs to. Passwords are hashed. Access to production systems is limited to staff who need it.

No service can promise perfect security. If a breach affects your data we will notify you and the relevant regulator as the law requires.

11. Your rights

Depending on where you live, you may have the right to access the personal data we hold about you, to correct it, to delete it, to restrict or object to its processing, to receive it in a portable form, and to withdraw consent where processing relies on consent.

To exercise any of these against us as controller, write to info@asyncview.com. If your data was submitted as a candidate, we will pass the request to the employer who invited you, since the decision is theirs.

You also have the right to complain to your local data protection authority.

12. Children

The service is not intended for anyone under 16, and we do not knowingly collect their data. If you believe a child has been recorded through the service, contact us and we will remove it.

13. Changes to this notice

We update this notice as the service changes. The date at the top shows the current version, and material changes are announced by email or in the product before they take effect.
